The role
The purpose of the Receptionist is to provide an exceptional first impression to suppliers, partners, and prospective employees via either face to face or phone interactions. This role also plays a pivotal part in the general administration and housekeeping of Head Office, ensuring the timely execution of daily tasks and high standard of presentation to drive a professional and supportive environment for the wider Head Office team.
We are seeking a part-time Receptionist to join the Head Office team for 30 hours per week across Monday - Friday. The part-time schedule we are seeking is:
- Monday - Thursday, 10:30am - 5:00pm (30-minute break)
- Friday, 9:00am - 4:00pm (1-hour break)
What you'll be doing:
- Act as the face of Head Office to external stakeholders. Greet all visitors upon arrival, ensuring they are compliant with visitor protocols and directed to the right locations and people.
- Support with general administration including filing, basic invoice management, ThinkTime tasks and Teams messages.
- Support with food preparation including Director meals and internal event catering.
- Support with housekeeping tasks including ensuring that meeting rooms and communal spaces are clean, tidy, and well presented.
- Manage Head Office supplies by auditing and ordering stationary, kitchen products and bathroom supplies on a weekly basis.
- Support the coordination of internal and external events for the office.
- Coordinate and manage bookings for meeting rooms.
- Manage general enquiries via email and phone to ensure timely and accurate responses.
- Distribute years of service certificates and vouchers to internal team members.
- Assist with Director errands.
- Maintain and distribute contact directories.
What you'll need:
- Ability to work 30 hours of part-time work, Monday - Friday.
- Strong computer literacy and experience with Microsoft Office.
- Experience in an administrative role highly desirable.
- Experience in a customer service-based role essential.
- Good time management and organisational skills.
- Strong communication skills, both verbal and written.
